When we use the terms “we”, “our”, or “us” in this Privacy Notice, we refer to our company and any hosts we work with. This privacy notice describes the personal information we collect from you and how we use that information. It also sets out choices that you have in respect of our use of your personal information. We may change portions of this privacy notice from time to time, so be sure to check it on a regular basis. If we make a change that significantly affects your rights or, to the extent we are permitted to do so, significantly changes how we use your personal information, we will notify you by way of a prominent posting on our website or by email, prior to the change becoming effective. What is personal information?
In this privacy notice “personal information” means information that identifies you as an individual, or that we can combine with readily available information to identify you as an individual.

What personal information we collect and how we use it?
The principal purposes for which we collect and store your personal information are to onboard you to Space Republic, allow you to reserve and use our pods, authorise payment, bill you, respond to your enquiries, improve our products and services and maintain your account with us. We will use your personal information including where:

  • this is necessary to enter into or perform our contract with you – for example, using your contact details and payment details to supply products and services you want to purchase.
  • this is necessary to comply with legal or regulatory requirements – for example, disclosure of information to law enforcement if you are involved in an incident during your booking, or suffer any loss or injury, or in the event of damage to the pod.
  • this is necessary for the purposes of our legitimate business interests (provided that we have balanced these against your rights and interests).
  • Our legitimate interests include: (a) to ensure effective administration and management of your relationship with us, including any bookings with us; (b) to understand how our customers use our services and to manage our pods; (c) to carry out research and analysis on what services or products our members want or how they would like us to improve our services and products; (d) to understand how our members use our Sites and identify any issues in how the Sites are used and how we can improve the customers’ usage experience; (e) to tell our members about the various products and services we can offer; (f) understand and respond to member feedback; (g) to prevent, detect, or investigate unauthorised use of our pods and systems and ensure we comply with law and our policies; and (h) manage any disputes and incidents and take legal or other professional advice.

Space Republic collects information that you voluntarily submit to us, which could include your name, email address, postal address, telephone number etc. This also includes information you provide to us via an email, or similar message, telephone call, or by other means. Your telephone calls and other correspondence with us may be recorded or monitored for quality control, training and similar purposes. Space Republic will also record and keep data pertaining to business critical user behaviour. This includes early entry or late departure of the pod, reports made, eg related to lost property/damage or unauthorised use of the pods/equipment therein.
